Please read the instructions and Terms and Conditions carefully. When you’re ready either complete the online form below and press Submit or follow the old method.

Submissions are now being considered for the 2026 village fair.

Forms will be assessed for suitability and, if your application is successful, you will be sent details of how to pay together with your reference number. We will also ask for evidence of your public liability insurance.

If you are unsuccessful, we will write explaining our reasoning.

Terms and Conditions

Insurance

It is important, for your protection and the protection of others, that the activities and services offered at the RC Village Fair are adequately insured. Our insurers insist that we establish that anyone trading/renting a stall at the Village Fair has appropriate Public Liability Insurance for your activity/stall covering the date of the Village Fair.

We will require evidence of your insurance when you pay for your pitch fee for your booking to be confirmed. Thank you.

Stallholders selling/providing foodstuffs of any description

Current Legislation means all providers of foodstuffs must declare a list of common allergens found in their products. Stallholders MUST provide this information on packaging or on clearly displayed signs. The law identifies the following 14 allergens as the most potent and prevalent:

  1. Celery
  2. Cereals containing gluten e.g. wheat, barley, oats
  3. Crustaceans e.g. prawns, crabs, lobsters
  4. Eggs
  5. Fish
  6. Lupin
  7. Milk
  8. Molluscs e.g. mussels, oysters
  9. Mustard
  10. Peanuts
  11. Sesame
  12. Soybeans
  13. Sulphur dioxide (at a concentration of more than 10 parts per million)
  14. Tree nuts e.g. almonds, hazelnuts, walnuts, Brazil nuts, cashews, pecans, pistachios, macadamia

Online submission

  2. Complete the online form
  3. Press the Submit button
  4. Await a response from the RCVF committee.

Offline submission

  1. Download and print the booking form.
  2. Complete the form.
  3. Either mail/deliver the completed form to

  4. Or email your completed booking form to enquiries@rcvf.org.uk
  5. Await a response from the RCVF Committee.
